Job Summary:

An upcoming boutique lifestyle company is seeking a Personal Assistant, right hand to CEO, to provide world-class support to the founder.  The right candidate will be outgoing, energetic, flexible, resourceful and adaptable while being able to manage many tasks and projects at hand. This Personal Assistant should be detail-oriented and has the ability and flexibility to travel for up to three months out the year (2-6-week increments). A personal interest in a healthy lifestyle and a sense in urgency when giving back to the community is a major plus to the principal. Position is working out of the principal’s home located in Northern, New Jersey.

We are a boutique estate staffing agency, we provide unparalleled personal service talent (nannies, housekeeper, household and estate staff & management) to ultra-high net worth families and individuals internationally. We also give back to the community by volunteering on many different non-profit projects through Europe, Asia and South America. This helps us develop our network of professionals across the globe and benefits our business in providing multi-lingual talent to add to our pool. In order to be a success at this opportunity you should have no restrictions on international travel and be open minded to different cultures and lifestyles. You can expect to travel anywhere from 2 to 12-weeks out the year.

 

Essential Job Functions:

 

Breakdown of functions: 20% personal; 80% business related task

Act as primary gatekeeper and liaison for principal

Research and book international and domestic travel

Research and book volunteer programs according to principals’ requirements and standards

Heavy customer service (phone & email correspondence)

Social Media and Photography skills are a major bonus!

Social Media, website management, blog research.

Demonstrated excellence in organizational, presentation, administrative, and management skills

Experience in modern office procedures and technology

Thorough knowledge of record keeping, expense management, and other administrative procedures especially when traveling.

Global awareness and impeccable attention to detail

Demonstrated teamwork ability

Values-based, collaborative working style with a demonstrated commitment to the highest standards of ethics, confidentiality, service, and excellence

Tech Savvy: software tools for word processing, presentation, and spreadsheets.

Concise communicator with an ability to take complex situations/requests and simplify without direction into manageable steps towards accomplishment

Ability to proactively think through and research multiple options for travel, events, and logistics and present vetted options coherently and thoughtfully

Exceptional direct and clear communication, tech skills, organization, proactive focus

Prioritize executive tasks and multi-task effectively

Strong communication skills, both written and verbal

Proficiency in all areas of Microsoft Office and Mac OSX; must be very tech-savvy

Professional mindset and the utmost discretion

Ability to work independently and as part of a team

Detail-oriented with exceptional organizational skills

 

About You:

 

Passionate about personal and business assistance

A profound interest in traveling, meeting new people, networking & volunteering!

4-year’s of experience working in a business environment (Sales or Human Resource a +)

4-Year College Degree a HUGE +++

Local to the Hudson County Area or 30min from Newark Airport is a +

Excellent references from both current and previous employers

Strong communication, follow-up and customer service skills

Flexibility with hours and schedule; available to work overtime as needed

Must have valid passport and availability to travel to international and domestic locations

Valid US work authorization

DL License

Ideally, be fluent in one or more foreign languages, SPANISH & FRENCH ARE A BIG +.
